1. Who we are

2. What we collect
From this website: when you fill in the booking form, we collect your name, phone number, the service you are interested in, your preferred date, and anything else you choose to share in the message field. The form is hosted on this website and the data is delivered to us by email.
From analytics tools: if enabled, we use Google Analytics 4 and Microsoft Clarity to understand how people use the site. These tools collect anonymous information about pages viewed, time on site, device type, and broad geographic region. They do not collect your name, phone number, or anything that identifies you personally to us.
From clinic visits: as your dentist, we collect the information required to treat you (medical and dental history, X-rays, clinical notes, photos for treatment records, billing details). Clinical records are separate from website data and are governed by professional regulations in addition to this policy.
3. Why we use it
- To respond to a booking request or other enquiry you send us.
- To plan, deliver, and follow up on dental treatment.
- To send appointment reminders by phone or WhatsApp.
- To improve how the website works (analytics).
- To comply with our professional, regulatory, and legal obligations as a dental practice.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
4. Who else sees it
Email delivery (Resend): booking form submissions are sent to us via Resend, an email service. They handle the message in transit only.
Analytics (Google, Microsoft): if enabled, anonymous usage data is processed by Google Analytics and Microsoft Clarity. Both providers have their own privacy policies that apply to that data.
Hosting (Vercel): the website is hosted on Vercel, which processes server logs as part of running the site.
Clinical referrals: if your treatment requires a specialist we do not handle in-house, we will share the minimum necessary clinical information with the referred-to clinician, with your knowledge and consent.
5. How long we keep it
Booking form emails: retained as long as needed to follow up on the request, then archived.
Clinical records: retained for the period required by Indian dental regulations and professional indemnity rules.
Analytics data:retained according to the provider’s default retention settings (typically 14 months for GA4).
6. Your rights
Under the Digital Personal Data Protection Act, you can ask us to:
- Confirm what personal data we hold about you.
- Correct any data that is wrong.
- Delete data, where we are not legally required to keep it.
- Withdraw consent for any processing that depends on your consent.
Email info@drsampada.com with a request. We will respond within a reasonable time and at no cost for standard requests.
7. Children
The website is not directed at children under 18. Children we treat at the clinic are seen with a parent or guardian, and clinical consent is handled accordingly.
8. Changes to this policy
If we change this policy meaningfully, we will update the “last updated” date at the top and, where appropriate, contact existing patients directly.
